The Office Furniture Buying Checklist for Bengaluru Offices

Furnishing an office means buying six or seven distinct categories of furniture, each with its own failure modes. This is a checklist you can take into a supplier conversation — including one about the office furniture we manufacture — and get specific answers against.

Workstations

Module width and depth — and whether all seats use the same
Worksurface board type, thickness (25 mm), laminate code
Edge banding: 2 mm PVC, all four edges, machine-pressed
Frame: MS section size and wall thickness, powder coat shade
Levellers on every post
Screen height above finished floor, and infill — laminate, fabric-wrapped or glazed
Raceway: continuous or per module, capacity, cover type
Power and data box: how many per seat, flush-mounted

Task seating

Gas lift: certified, standard cylinder size so it can be replaced
Mechanism: synchro tilt with adjustable tension, stated weight rating
Seat foam: moulded high-resilience, 40 kg/m³ or above
Seat depth adjustment if the team is of mixed build
Height-adjustable armrests
Castors matched to the floor finish
Base material: nylon or aluminium

Storage

Pedestal: drawer count, ball-bearing full-extension slides, load rating, lock
Carcass: board type and thickness (18 mm), back panel grooved not pinned
Hinges: concealed soft-close, branded, correct count for shutter height
Levellers and a scribed plinth on every fixed unit
Anti-tip fixing for tall units

Reception

Two-level counter: front at ~1050 mm, work surface at 750 mm
Lockable drawer for personal items and a lockable shutter for the register
Side storage sized to what the desk actually holds
Ventilated bay for network or intercom equipment
Recessed plinth so trolleys and mops hit a sacrificial base

Meeting and discussion

Table size against room size, allowing 900 mm chair pull-back all round
Understructure that leaves seating positions clear — cantilever or twin pedestal
In-surface power and data module
Chairs with arms low enough to tuck under the table

Pantry and canteen

Base carcass in plywood, near water
Post-formed laminate tops with a rolled front edge, or stainless steel
Table understructure that keeps floor cleaning simple — pedestal or T-leg
Seating that is wipeable and stackable
Seat count calculated from headcount and lunch window, not from headcount alone

Across everything

A written specification listing every board type, laminate code, edge band and hardware model
Drawings for each unit type
Warranty terms — and separately, what is covered: structure and hardware are often different
Availability of spares and whether laminate codes are held against your project
Site survey before production, with the access route recorded
Installation, levelling and alignment in scope, plus a dated snag list at handover

Two questions that tell you most

“Can I visit the workshop?” A manufacturer will say yes. A trader will find a reason not to.

“If a shutter is damaged in three years, can you make me a matching one?” The answer requires that someone kept the laminate code and the drawing.
